OSC TRADING POST MARKET
Vendor Rules
We want the OSC Trading Post Market to be simple, organized, and worth showing up for—for vendors and customers alike.
If you’re joining us as a vendor, here’s what you need to know.
1. THE TRADING POST IS CURATED
The OSC Trading Post Market is a curated market.
We’re looking for well-made goods, useful gear, good food, vintage finds, outdoor and Western goods, craftsmanship, and other products that fit the character of the Trading Post.
Submitting an application does not guarantee acceptance.
Vendor selection may be based on product fit, quality, presentation, available space, and maintaining a good variety of vendors.
We also try to avoid having too many vendors offering substantially similar products.
2. VENDOR SPACES
Standard vendor spaces are 10' × 10'.
Unless otherwise approved, all merchandise, tables, displays, signs, tents, and equipment must remain within your assigned space.
Vendors are responsible for providing everything needed for their setup, including:
- Tent or canopy
- Tables and chairs
- Displays
- Tent weights
- Equipment
- Supplies
If your setup requires more than a standard 10' × 10' space, please tell us on your application.
Additional space is not guaranteed.
3. TENTS MUST BE WEIGHTED
If you bring a tent or canopy, every leg must be properly weighted.
Stakes alone are not considered adequate.
Castroville weather can change quickly, and an unsecured canopy can become dangerous.
Market organizers may require a tent or canopy to be lowered or removed if weather or wind conditions make it unsafe.
4. NO ELECTRICITY
Electricity is not provided to vendors.
Plan your booth accordingly.
Generators are not permitted unless they have been specifically approved by the market organizers in advance.
5. ARRIVAL, UNLOADING & SETUP
Setup times will be provided for each Trading Post Market.
Because space in the market area is limited, we need everyone to follow the same unloading procedure:
UNLOAD → MOVE YOUR VEHICLE → SET UP
When you arrive, unload your tent, tables, merchandise, and supplies at your assigned space.
Once unloaded, move your vehicle to the designated vendor parking area before beginning to set up your booth.
Please do not assemble your tent, arrange merchandise, or begin your full setup while your vehicle remains in the unloading area.
Keeping vehicles moving gives every vendor a chance to get in, unload, and get out without creating a traffic jam.
6. BE READY WHEN THE MARKET OPENS
Market hours and setup times will be provided for each event.
Your booth should be completely set up and ready for customers before the advertised opening time.
Please give yourself enough time to unload, park, and complete your setup.
Late arrivals may not be permitted to drive into the market area once pedestrian traffic has begun.
7. STAY FOR THE WHOLE MARKET
By accepting a space, you are committing to the full advertised market hours.
Please do not begin packing up early.
Early teardown doesn't just affect your booth—it changes the atmosphere of the entire market and can create safety issues when customers are still walking around.
If an emergency requires you to leave early, speak with a market organizer before bringing a vehicle into the market area.
8. VEHICLES
Vendor vehicles are allowed in designated areas during the unloading period.
After unloading, vehicles must be moved promptly to designated vendor parking.
For the safety of vendors and customers, vehicles may not re-enter the market area until authorized by the market organizers after closing.
Please follow any traffic, unloading, and parking instructions given on market day.
9. SELL WHAT YOU APPLIED WITH
Your acceptance is based in part on the products described in your application.
Please bring and sell only the products, food, or services represented in your application unless something additional has been approved beforehand.
Market organizers reserve the right to ask a vendor to remove merchandise that was not disclosed or does not fit the market.
Counterfeit merchandise, illegal goods, and items determined by the organizers to be unsafe or inappropriate for the event are prohibited.
10. TEXAS SALES TAX
Vendors selling taxable goods or services must have a current Texas Sales and Use Tax Permit, when required by law.
A copy of the required permit/documentation must be submitted before your vendor space can be confirmed.
Vendors are responsible for properly collecting, reporting, and remitting all applicable Texas state and local sales and use taxes for sales made at the event in Castroville, Medina County, Texas.
Each vendor is responsible for understanding and complying with the tax requirements applicable to their business.
11. PERMITS, LICENSES & FOOD REQUIREMENTS
Each vendor is responsible for obtaining and maintaining any permits, licenses, certifications, insurance, or other approvals required for their particular business or products.
Food and beverage vendors are responsible for complying with all applicable food-safety and health requirements.
Acceptance into the OSC Trading Post Market does not mean that Overholt Supply Co. or the market organizers have verified or approved your compliance with governmental requirements.
That responsibility remains with the vendor.
12. VENDOR FEES & CONFIRMATION
Vendor fees may vary by market and will be stated on the application for each event.
Applying does not reserve a space.
Your space is not confirmed until:
- Your application has been accepted
- Required tax documentation has been received
- Any other required permits or documentation have been received
- Your vendor fee has been paid
Until those items are complete, the space may be offered to another vendor.
13. CANCELLATIONS & NO-SHOWS
Vendor fees are non-refundable for vendor cancellations and no-shows, unless otherwise stated for a particular market.
If something comes up and you cannot attend, please let us know as soon as possible.
Repeated cancellations or no-shows may be considered when reviewing applications for future Trading Post Markets.
14. WEATHER
The OSC Trading Post Market is an outdoor event and is held weather permitting.
Vendors should come prepared for normal outdoor conditions and are responsible for protecting their own merchandise and equipment.
If severe or unsafe weather requires us to delay, shorten, close, or cancel a market, we will communicate with vendors as soon as reasonably possible.
Market organizers may also require tents, signs, displays, or other equipment to be secured, lowered, or removed when conditions become unsafe.
15. KEEP YOUR SPACE CLEAN
Keep your booth and the area around it clean throughout the market.
Before leaving, remove everything you brought with you, including:
- Merchandise
- Boxes and packaging
- Trash
- Food waste
- Zip ties
- Signs
- Tent weights
- Display materials
Leave your space as clean as you found it.
16. BE GOOD TO FOLKS
This one shouldn't be complicated.
Treat customers, neighboring vendors, market staff, property owners, and the public with respect.
Unsafe, threatening, disruptive, or seriously inappropriate behavior may result in removal from the market without a refund and may affect participation in future markets.
17. YOUR BOOTH, YOUR RESPONSIBILITY
Vendors are responsible for their own:
- Merchandise
- Money and transactions
- Employees and helpers
- Tent and displays
- Equipment
- Inventory
- Permits and licenses
- Taxes
- Business activities
Vendors participate at their own risk.
To the extent permitted by law, Overholt Supply Co., the property owner, and the OSC Trading Post Market organizers are not responsible for theft, loss, damage, or injury resulting from a vendor's merchandise, equipment, setup, or business operations.
18. MARKET ORGANIZER DISCRETION
Sometimes something comes up that isn't covered by a rule.
Market organizers reserve the right to make reasonable decisions necessary for the safety, operation, organization, and overall quality of the OSC Trading Post Market.
This includes decisions regarding:
- Vendor and product approval
- Booth placement
- Traffic and parking
- Safety
- Weather
- Displays
- Market operations
Failure to follow vendor rules or reasonable instructions from market organizers may result in removal from the market without a refund and/or exclusion from future markets.

Unload. Move your truck. Then set up.
Be ready when we open and stay until we close.
Handle your permits and taxes.
